Components of the MCSS-D research management system

The MCSS-D research management system is a framework in which the individual modules can be easily linked together to form an integrated system.

Management tools
FoFöGranting of subsidies Research Funding FoFö: Allocation of internal university research funds for seed funding, idea development, financing of Open Access publications, research stays, and much more.
Contract managementElaboration / Milestones / Filing The Contract management maps the process from drafting the contract to linking the contract content/milestones with project management, payment processing and archiving.
Researcher profiles
Reporting tools With the Reporting module users can evaluate the data available to them individually and display the results graphically / summarize them in a cockpit.
Grants ManagementAcquisition of third-party funds/ CRM The Grants Management Tool supports the acquisition of third-party funds and the securing and processing of third-party financing.
PublicationsUniversity bibliography / Open Access process / Qualification papers
Research
infrastructure
The Research infrastructure is made transparent. At the same time, it is documented which infrastructure is used in which project. A link to the carbon footprint is possible.
Annual Report/ Accreditation Accrediation presents the current data according to the evaluation guidelines of the accreditation agency and shows progress along the improvement axes/indices.
Project calculationRaising third-party funds / CRM Calculators: Donor-specific project cost calculators based on German collective agreements, which also compare internal university costs and maximum funding contributions. Examples: AZA, AZAP, ZIM, EU, DFG, investment banks. Calculators adapted to Switzerland (university and university of applied sciences) are also available.
ProjectsProject database / Project management / Reporting
Partner organizations An up-to-date list of all cooperation partners - Linking with projects and research outputs
Cockpits The user-specific Cockpits (researchers, research management, controlling, personnel department, management committees, etc.) serve as a starting point for daily work, are linked to the financial and personnel systems and provide users with all the information they need at a glance.
Ethics/IRB Ensuring compliance With the module Ethics/IRB approval processes in the areas of data protection, research ethics, animal welfare, etc. are mapped and supported. Self-assessment questionnaires are also available, which show researchers which legal requirements their project is subject to.
External services

Basic module FIS

This complete research information system is based on the research core data set and the EU Cerif standard. The research information system manages data of projects, publications / output data und external service / achievements and provides current Profiles of all researchers and their publication lists. With the Evaluation tool all user groups evaluate the data accessible to them / activated for them and export it in the desired format.

Additional options to the basic module FIS:

Project management
University bibliography
Open Access process
Research infrastructure

Pre-Award processes

To support pre-award processe MatchingNeeds offers the following modules

The Grants Management Tool supports the acquisition of third-party funds and the securing and processing of third-party financing
Calculators: Donor-specific project cost calculators based on German collective agreements, which also compare internal university costs and maximum funding contributions. Examples: AZA, AZAP, ZIM, EU, DFG, investment banks. Calculators adapted to Switzerland (university and university of applied sciences) are also available
With the module Ethics/IRB approval processes in the areas of data protection, research ethics, animal welfare, etc. are mapped and supported. Self-assessment questionnaires are also available, which show researchers which legal requirements their project is subject to
The Contract management maps the process from drafting the contract to linking the contract content/milestones with project management, payment processing and archiving
Research funding FoFö: Allocation of internal university research funds for start-up financing / development of ideas / financing of open access publications / research stays and much more.

Management area

In Management information MCSS-D offers in addition to the sophisticated evaluation tool:

The module Accreditation. This presents the current data according to the evaluation guidelines of the accreditation agency and shows progress along the improvement axes/indices.
User specific Cockpits (researchers, research management, controlling, personnel department, management committees, etc.) serve as a starting point for daily work, are linked to the financial and HR systems and provide users with all the information they need at a glance.

Digitization of research processes

MCSS-D is more than just a research information system – As a modular research management system, it digitizes all the research processes of a modern German university:

Internal university approval processes for project applications - “digital docket”
In the module Ethics/IRB additional approval processes in the areas of data protection, research ethics, animal welfare regulations, etc. are mapped and supported.
Automatic transfer of data of the complete application in the PDF application forms of the funding bodies (AZA, ZIM etc.), which can then be uploaded to the EasyOnline platform
Reporting and presentation of success rates
For funded applications automatically a project will be opened.. Project monitoring compares the actual costs with the project calculation
The Research output is documented via publications and external achievements that are linked to the projects and the researchers
Automatic creation of a university bibliography
Recording of all financing and financing rounds, not only for projects, but also for external services (e.g. organization of congresses) and publications (open access strategy)
The Research infrastructure is made transparent. At the same time, it is documented which infrastructure is used in which project. A link to the carbon footprint is possible
An up-to-date list of all Cooperation partner – Linking with projects and research outputs
Allocation of all research activities to the Main research areas and / or strategic goals of the university
With the Evaluation module users can evaluate the data available to them individually and display the results graphically / summarize them in a cockpit
All requirements of the Data Protection Regulation have been implemented.

Advantages of MCSS-D

Open-source-based, is operated on the university's servers / network and is therefore compatible with the university's data protection requirements
Captures all data from the research core dataset - and more

Modular design sets no limits to extensions. Every internal university process can be mapped. Examples: Qualification papers, services provided, automatic updating of full texts in the repository
Open interfaces on library systems, repositories and research information systems
Easier work for researchers: Collect data only once and use it multiple times, Publication import in RIS format and export publications in more than 2000 citation styles
Modern GUI that can also be used on mobile devices
